Tips for replying to negative reviews
Show the 8 tips
- Check the facts first. Look up the visit, order or appointment before you reply. Don't say anything you haven't verified.
- Wait until you're calm. A reply written while angry is hard to take back. Sleep on it if you need to.
- Apologize for the experience, don't argue. You can be sorry they had a bad time without agreeing with every detail.
- Keep it short and take it offline. Give a phone number or email so you can sort it out privately.
- Don't share private details. Avoid order contents, appointment details, health information or last names in a public reply.
- Don't trade anything for a changed review. Don't offer a refund or freebie in exchange for editing or deleting a review. Many platforms' rules prohibit it. Check theirs.
- Think of the next reader. Future customers often read the replies. A calm, polite reply says a lot about you.
- If it looks fake or breaks the platform's rules, report it through that platform's own process, and still consider a brief, polite reply.

Questions
Is it really free?
Yes. Generate as many drafts as you like without paying or giving an email address.
Is the review I paste stored or sent anywhere?
No. The drafts are written in your browser and the review text never leaves your device. Nothing is sent unless you fill in the optional contact form at the bottom of the page and press its send button.
Is this written by AI?
No. The drafts come from hand-written templates plus simple keyword rules that spot themes such as wait times, price, staff, cleanliness and quality. It doesn't understand your review the way a person does, so always read and edit a draft before you post it.
Should I reply to negative reviews?
Many business owners do, because future customers can read the reply. A short, calm reply that apologizes for the experience, avoids arguing and moves the conversation to a phone number or email is a common approach. Check each platform's own guidance too.
Does this post replies to Google or Yelp for me?
No. You copy a draft and paste it into your own listing yourself. This tool doesn't connect to any review platform.
What is the paid option?
It's optional. The One-Job AI Assistant Setup is $97 for the first few clients, then $149. I set up an AI assistant for one repeatable job in your business, such as drafting review replies for you to approve.
